Overview

A custom software development company that builds around your processes

Custom software development means building software for one business's processes, data and people, instead of bending your team around a generic tool. Outstep is a small custom software development company that designs, builds and maintains these systems, with one team covering design, backend, frontend and launch.

Most of our work falls into three groups. We build new systems such as internal tools, operations platforms and client portals. We connect the tools you already pay for, so data stops living in spreadsheets. And we take over existing codebases, including apps first built with Lovable, Bolt or Replit, and make them safe to run and easy to change.

The code we write for you is yours. We work remotely with clients worldwide, and every project starts with a free call and a realistic estimate.

Challenges

Problems we solve

Your team works around its tools

Generic software covers the common cases and leaves the rest to spreadsheets, copy-paste and workarounds. Every manual step costs time and creates room for mistakes.

Your systems don't talk to each other

Customers live in one tool, orders in another and invoices in a third. Someone moves the data by hand, and the reports never quite match.

Nobody fully trusts the current codebase

The original developer moved on, or the app was generated quickly with an AI builder. Changes break things, security is unclear and nobody knows what is safe to touch.

Services

What we build

Internal tools and admin panels

Dashboards, approval flows and back-office screens that match the way your staff actually work. Role-based access is built in from the start, so each person sees only what they need.

Operations platforms

Systems that run a core part of the business, such as bookings, orders, pickups or scheduling. They track every job from request to completion and give managers live numbers instead of weekly exports.

CRM and ERP-style systems

Custom records for customers, deals, inventory or projects when a packaged CRM or ERP does not fit. We model your data carefully in PostgreSQL so it stays reliable as it grows.

Client portals tied to your operations

Secure areas where your customers submit requests, check status and download documents. They connect to your internal systems, so nobody has to enter the same data twice.

Integrations and APIs

REST and GraphQL APIs that connect your CRM, accounting, payments, maps and identity providers. Data moves automatically, and logging catches failed syncs before they turn into bad reports.

Code reviews and security audits

An independent review of your codebase before launch or before a major release. We check authentication, data access rules, secrets and dependencies, then give you a prioritized list of fixes.

Custom software vs off-the-shelf: when building is worth it

Buying is the right call more often than most agencies admit. If a well-known product already does what you need, it is usually cheaper and faster to subscribe to it, and we will say so on the first call.

Building pays off when the process itself is what sets your business apart, or when you already pay for several tools and still fill the gaps by hand. Often the best answer is a mix: keep the tools that work and build the layer that connects them.

  • Your workflow has steps no product supports, so staff rely on spreadsheets and workarounds.
  • Per-seat license fees keep climbing as your team grows.
  • You need data from several systems in one place, with rules only your business uses.
  • Compliance requirements such as HIPAA mean you need control over where data lives and who can see it.
  • You want to own the software and change it on your schedule, not a vendor's roadmap.

Ways to work with us

Choose the model that matches how clear your scope is today. You can switch later as the project changes.

  • Fixed-scope project: we agree on features, timeline and price up front. This works best when requirements are clear, such as a defined internal tool or a specific integration.
  • Ongoing monthly team: a dedicated group of developers works through your priorities in short cycles. This suits software that keeps evolving, or when you need steady capacity without hiring.
  • Codebase takeover: we audit what you have, fix the urgent issues first, then either continue development or hand it back to your team with documentation.

Taking over an existing codebase

Many teams come to us with software that already exists. A freelancer moved on, an in-house developer left, or the first version was built quickly on Lovable, Bolt or Replit and is now hitting its limits.

We start with an audit, not a rewrite. Most working code is worth keeping, and a full rebuild is rarely the cheapest way to fix a problem.

  • Code and architecture review, with a written report of risks and quick wins
  • Security checks, including Supabase row-level security policies and Firebase rules
  • Migration from Lovable, Bolt or Replit to a self-hosted stack you control
  • PostgreSQL and Supabase schema cleanup and careful data migration
  • Documentation, environment setup and deployment pipelines, so the next developer can start quickly

Process

How we work

  1. 01

Free consultation and a realistic estimate

We talk through your processes, current tools and goals on a free call. You get an honest view on whether to build, buy or combine, and an estimate based on real scope.

  2. 02

    Design the system

We map workflows, data models and integrations, then design the screens your users will work in. You review and approve the plan before we write production code.

  3. 03

    Build in short, transparent cycles

We ship working software in short cycles and demo it as we go. You see progress often and can change priorities without restarting the project.

  4. 04

    Launch, support and keep improving

We deploy, monitor and fix issues after launch, and help your team get comfortable with the new system. Then we keep improving it as your business changes.

FAQ

Frequently asked questions

What is custom software development?

Custom software development is designing and building software for one organization's specific processes, users and data. Instead of adapting your work to a generic product, the software is shaped around how you already operate. It can be a new system, an integration between tools you already use, or an upgrade of software you already have.

Should we build custom software or buy an off-the-shelf product?

Buy when a mainstream product covers your needs and your process is fairly standard. Build when the workflow is specific to you, when you are stitching several tools together by hand, or when you need full control over your data and roadmap. Many businesses end up with a mix: packaged tools for the basics and custom software that connects them.

What drives the cost and timeline of custom software?

Scope drives both: the number of user roles and screens, how complex your business rules are, how many systems need to be integrated, data migration, and any security or compliance requirements. A focused internal tool takes far less time and budget than a multi-role operations platform. After a free call we give you a realistic estimate and timeline for your project, and we update it openly if the scope changes.

Who owns the code and intellectual property?

You do. The code, designs and data we create for your project belong to your business. At handover you get the repository, credentials and documentation, so you are never locked in to us.

Can you take over our existing codebase?

Yes. We start with an audit of the code, architecture, security and hosting, then give you a plan that fixes the riskiest issues first. We take over projects from other developers as well as apps built on Lovable, Bolt or Replit, and can move them to a self-hosted stack you control.

How do you handle security?

We design security in from the start: role-based access, encrypted connections, careful secrets handling and correctly configured database rules such as Supabase row-level security. For regulated work we build to the standard you need, as we did with MedHealix, which was built to be HIPAA-compliant. Before launch we can also run a separate code review and security audit.

Do you provide support after launch?

Yes. We stay on after launch to monitor the system, fix bugs and handle updates. You can move to an ongoing monthly team to keep adding features, or we can hand everything over to your own developers with documentation.

How do I choose a custom software development company?

Look for a team that has shipped software similar to yours, explains trade-offs in plain language and gives you a realistic estimate rather than the lowest one. Ask who will actually write the code, how often you will see working software and who owns the result. A small team can move quickly, as long as it covers design, backend, frontend and launch.
